Publishing a Calendar so it can be viewed by other users in OWA(webmail) or Outlook.

The Process

Important:

  • You should never open *.ics file using Outlook 2016 for Mac. This will remove all data from your Calendar.
  • By default, you can only choose Availability Only for publishing. Contact Support to enable other options if necessary. Publishing calendar with Editor permission level is restricted due to the nature of the shared hosted environment.
  • Publishing Public Folder calendar is not supported.
  • The functionality is available only for Exchange 2010/2013/2016/2019 accounts.

Publishing of a calendar makes it available to people outside of your organization. To share a calendar internally follow instructions from the article:

  • Outlook/OWA 2010
  • Outlook/OWA 2013
  • Outlook/OWA 2016/2019

Outlook/OWA 2010

In order to publish your calendar to the Internet using Outlook 2010 you may follow these steps:

  1. Navigate to the Calendars section of your Outlook > right-click the calendar you want to publish > Share > Publish This Calendar...
  2. Enter you email address and password and click Sign In.
  3. Choose desired options and click Start Publishing.
  4.  
    • Publishing detail:
      Availability Only shows Free, Busy, Tentative, or Away.
      Limited Details also shows subjects of meetings.
      Full Details shows all details.
      Note: by default, you can only choose Availability Only. Contact Support to enable other options if necessary. Publishing calendar with Editor permission level is restricted due to the nature of the shared hosted environment.
    • Access Level:
      Restricted: people only have access if they receive a link to your published calendar.
      Public: people can search for this calendar on the Internet. Choose this option only if you want your calendar to be available to anyone.

  5. Copy links to share with your colleagues or other parties and click Save to start publishing.
  6. To make sure calendar was published successfully: put the Link for viewing a calendar in a Web browser into another tab or window of your browser and verify it's accessible. Close windows when done.

To change publishing settings or stop publishing your calendar:

  1. Navigate to the Calendars section of your Outlook > right-click the calendar you want to change settings for > Share > Configure This Published Calendar...
  2. Enter you email address and password and click Sign In.
  3. Update settings and click Save or click Stop Publishing.

Outlook/OWA 2013

In order to publish your calendar to the Internet using Outlook 2013 you may follow these steps:

  1. Navigate to the Calendars section of your Outlook > right-click the calendar you want to publish > Share > Publish This Calendar...
  2. Enter you email address and password and click Sign In.
